Workspaces

What a workspace is, its web address, belonging to several, and what happens if one is suspended.

What a workspace is

#

A workspace is your team's space in CheapMeet. It has its own members and roles, meetings, chats, contacts, settings and plan. People in one workspace cannot browse another workspace's meetings or chats. Where External access is available, both organizations can agree to let selected people chat, call or join invited meetings together.

Every workspace has an address such as cheapmeet.com/acme. Invite links include it.

Create a workspace

#

Create your first workspace when you sign up (see Getting started), or later from the workspace switcher or account menu with Create workspace.

  • You need a verified email address. Temporary email addresses can't create workspaces.
  • Each account and email address can create one workspace. Gmail-style aliases (name+tag@) count as the same address.
  • Each company email domain can have one free workspace. If someone at your company already has one, ask them to invite you.
  • Names are up to 60 characters.

New workspaces start on the Free plan with a trial label for the first days; nothing is restricted when the trial ends.

The workspace address

#

The address is picked from the name when you create the workspace. Owners and admins can change it in Workspace settings → General → Workspace URL: 3 to 40 lowercase letters, numbers or hyphens. Some words, such as "app", "admin" and "join", are reserved. Changing the address doesn't break meeting links, which use their own codes. The old address stays reserved for your workspace for 30 days, so nobody else can take it over: you can switch back to it during that time, and after that anyone can claim it.

Belong to several workspaces

#

You can be a member of any number of workspaces with one account, with a different role in each. Switch with the workspace name in the top-left corner. Notifications from another workspace switch you to it when you open them.

Suspended workspaces

#

CheapMeet can suspend a workspace, for example for non-payment or a terms of service violation. Everyone in it then sees "{workspace} is currently unavailable" with the reason, a reference number, Contact support, Sign out and, if they belong to other workspaces, Switch workspace. Calls in progress end.

The owner is emailed the reason and reference. To restore access, email support@cheapmeet.com with the reference. Data in a suspended workspace is deleted after 90 days.

If the workspace was suspended for non-payment or because its trial ended, owners see Fix billing and can still open Billing to pay or choose a plan. Everyone else is asked to tell the owner. If access doesn't come back once it's paid, email support with the reference.

Export workspace data

#

Owners can download a copy of the workspace: in Workspace settings → General, under Workspace data, choose Export workspace data. You get an email and a notification when it's ready, and you download it from Settings → Privacy while signed in.

  • The export is a zip of the workspace and its settings (with its company logo, if it has one), members and invitations, meetings and calls, phone numbers and phone calls, and the chat and files of every group and meeting conversation.
  • One-to-one direct messages aren't included; they belong to the two people in them, and each can export what they sent.
  • The download link works for 7 days. You can start up to 3 exports a day, one at a time.
  • Owners can still export a closed or suspended workspace until its data is deleted.

Close a workspace

#

Owners can close a workspace for good. To stop paying but keep using it, cancel the plan in Manage billing instead: the workspace goes back to the Free plan at the end of the billing period (see Billing).

  1. In Workspace settings → General, under Workspace data, choose Close workspace.
  2. Read what will happen. Export the data first if you want a copy.
  3. Type the workspace's name exactly as shown, tick the box, and choose Close workspace.
  • Everyone, you included, loses access at once, and calls and phone calls in progress end. The other owners and admins are told.
  • Paid plans and Phone are cancelled straight away. You won't be charged again, and the rest of the current billing period isn't refunded.
  • Its phone numbers stop taking calls.
  • Meetings, chats, files and call history are deleted permanently after 90 days.

Until then, an owner who opens the workspace can reopen it or export its data. It reopens on the Free plan, and cancelled subscriptions aren't restored.
