Plans and billing
Billing
Upgrade to a paid plan, choose seats and monthly or annual billing, manage payments, and cancel.
The Billing tab
#Open Workspace settings → Billing. The summary at the top shows your Recurring monthly estimate, a Next payment preview, your Phone balance and Seats (how many are used of those you have). The monthly estimate adds up your subscriptions before tax, using your latest invoice where there is one and list prices otherwise; it shows No estimate when the workspace has no active paid subscription. The next payment shows the total and the date it’s due; it’s a preview, so the final amount may differ, and it shows No preview when no subscription payment is coming up. See breakdown lists each subscription’s share. The phone balance shows how long it should last at this month’s pace, No phone add-on when the workspace has no phone service, or Included when CheapMeet provides it. Unavailable means we couldn’t load the figures; refresh the page to try again. Calling usage is separate from subscription costs and cash paid. Product cards show the base plan, phone services, their settings and controls. Catalogue prices are estimates; checkout and your invoice show the actual total.
The longer explanations (how the phone balance works, how plan changes are charged, rates) open from the info button (i) beside a card or setting name.
Your plan shows the plan, seats used, when it renews or ends, and the billing period. On a paid plan the owner also sees Plan and seats, with the plan, billing period and seat count ready to edit, and Manage billing, which opens our secure billing page for the payment method, invoices and cancellation.
Only the workspace owner can buy or change the plan. Admins can see the Billing tab but not change it.
Promotions and temporary access
#If your workspace has an eligible offer, its owner can use Workspace settings → Billing → Promotions and temporary access to preview the code, requested seats and terms before confirming. The preview does not grant access. A hosted discount may require checkout; access is confirmed from the verified payment result, not from returning to the app.
Each accepted offer has a fixed UTC start and end. Calendar months and years follow UTC calendar dates. Discounts can cover the first eligible seats of a larger order; extra seats are normally paid. The base quote is in USD before tax, while hosted checkout shows the final currency, taxes and total. A final eligible billing period may be prorated.
Temporary access is separate from your purchased plan. It does not automatically convert to a paid subscription or enroll you in phone auto-top-up. A noncash calling gift is separate from purchased cash credit, has its own expiry and may apply only to specified calls or routes. A scheduled gift is unavailable before its start.
Calling gifts settle existing calling debt first when they start; only the remainder is available for eligible new calls. Scheduled gifts do not repay debt early. If a discount applies to an existing subscription, that subscription keeps its previously consented renewal terms after the discount ends. A new promotional subscription ends at its fixed term; further paid service needs separate consent.
Temporary Business Phone licences are named assignments. The owner can review assigned and unassigned capacity and use People to assign or disable licences. Phone access still requires eligible core access and the usual phone requirements. After a temporary licence expires, its number is retained for 30 days; retention does not allow continued calling.
An approved extension is an independent, separately budgeted source starting at the previous benefit’s end. Revoking one source does not remove a separately accepted successor or purchased services. A new calling gift has fresh face value; unused old credit is not rolled over. Pending offers can be retried from their accepted source without submitting the code again.
Upgrade to a paid plan
#- In Workspace settings → Billing, pick Monthly or Annual.
- Pick a plan: Starter ($6 a seat monthly, or $5 a month billed annually; 1–10 seats) or Business ($12 monthly, or $10 billed annually; 5–300 seats).
- Enter the number of Seats: at least one for each member and pending email invitation. The total before tax is shown below.
- Choose Continue to checkout and pay on the secure checkout page.
- You come back to CheapMeet with "Payment received". Within a few seconds the plan applies and you see "Your plan is active".
If you leave checkout without paying you see "Checkout canceled. Nothing was charged." If the plan hasn't updated after a minute, reload the page.
Seats
#You pay per seat, and each member takes one seat. Seats also set your minutes: each seat adds its share to the workspace's monthly and daily pool. When all seats are taken, new people can't join until you add seats or someone leaves. Add or remove seats under Plan and seats, then choose Update plan. Pending email invitations reserve seats until accepted, revoked or expired; revoke them before reducing seats below the total needed for members and invitations.
Change seats or plan
#- In Workspace settings → Billing, find Plan and seats, already showing your current plan, billing period and seats.
- Change any of them: switch between Starter and Business, between Monthly and Annual, or set a new number of Seats (at least one for each member and pending email invitation).
- Choose Update plan. You see "Plan updated" and the change applies straight away.
You're charged the prorated difference for the rest of the billing period at once. Removing seats or moving to a cheaper plan leaves a credit for your next invoice.
If your subscription is scheduled to end, your paid plan and seats stay available until the end date. Resume the subscription in Manage billing before changing seats or plan. If the charge fails you see "The payment didn't go through" and the plan stays as it was. Update the payment method in Manage billing and try again.
Manage billing
#Owners choose Manage billing to open our secure billing page, where you update the payment method, download invoices and receipts, and cancel. Changes made there apply to the workspace automatically.
Taxes and currency
#Prices are in US dollars and exclude taxes. Any sales tax, VAT or GST is worked out and added at checkout based on your billing details, and shows it on your invoice.
If a payment fails
#The Billing tab shows "Your last payment failed", and owners get an email. The plan stays while the payment is retried. The owner should update the payment method in Manage billing; admins see a note to ask the owner. If the payment still isn't made, the workspace goes back to the Free plan.
If the workspace is ever suspended for non-payment, owners can still open Billing to pay or pick a plan. See Suspended workspaces.
Cancel a paid plan
#Cancel in Manage billing. The workspace keeps its plan until the end of the period it has paid for (the Billing tab says "Ends …" under the plan name), then moves to the Free plan.
On the Free plan nobody is removed, but new people can't join while the workspace has more than 5 members, and Free limits apply to calls, files and chat history. Chat older than 90 days is deleted.
Billing emails
#Workspace owners get an email when a payment fails, when a plan starts or changes, when a cancellation is requested, and when a plan ends and the workspace moves to the Free plan. Receipts and invoices come from Link.
Phone billing
#Meeting Phone Access and Business Phone have their own cards in the Phone group of the Billing tab, below the plan. They are bought and paid separately from the plan, each with its own payment method, need Starter or Business, and are not on sale yet.
On Business Phone, the Phone users row shows how many users you pay for; the owner chooses Change on that row to add or remove users.
Calls on both are paid from one prepaid phone balance. The Phone balance card shows what is available, reserved by calls in progress, pending or owed, and has the Add credit buttons. Below it are separate cards for Automatic top-up and warnings (a switch to turn top-up on, its amounts, and the low-balance warning), Usage this month, Rates per minute and, once there is any, Credit activity.
See the phone pricing preview for the proposed prices and how the balance, warnings and automatic top-up work.
Refunds
#You can ask for a full refund within 14 days of your first paid charge. The refund and cancellation policy has the details.
