Meetings and calls

Join a meeting

Open a link or code, check your camera and microphone in the lobby, and what to do if you can't get in.

Ways to join

#
  • Open the meeting link from an invitation, a chat or a reminder.
  • On Calendar, choose Join with a link or code, paste a link or the meeting code (like abc-defg-hij) and choose Join.
  • Choose Join on the meeting in Up next (above the chat list), on Calendar, in Activity, or in a reminder. When a meeting is running in a chat, choose Join on the red Live banner in that chat.

If you are signed in to the meeting's workspace you go to the lobby. If not, you join as a guest: see Guests.

What happens when someone opens a meeting link: hosts and invited people join directly, members join or knock when there is a waiting room, and guests ask to join and wait for a host to admit or deny themJoins directlyWaiting room offWaiting room onKnocksAdmittedDeniedSomeone opens the meeting linkWho are they?Host or invitedThe organizer, workspace ownersand admins, and invited peopleWorkspace memberIn the workspace, but not invitedGuestNo account, or signed into another workspaceAsk to joinEnters their name firstWaits in the lobbySees “Waiting for the host…”In the callNot let in“The host didn’tlet you in”Can ask againKnocks expire after 10 minutes; up to 20 people can wait at once.If no host is in the call, any member in the call can admit.

The lobby

#

Before you join you see a preview of your camera and the meeting's title, time and who is already there.

  • Turn your microphone and camera on or off with the buttons on the preview, and pick the Microphone, Speaker and Camera below it.
  • Join now joins with your choices. Join with audio only joins with the camera off.
  • Copy link copies the meeting link to share.
  • The gear opens your audio and video settings.

If you turned on Skip the lobby when I start a meeting, meetings you start open straight into the call.

Join from your phone

#

Open the meeting link on your phone in Safari (iPhone and iPad) or Chrome (Android). The lobby and the call fit the screen, upright or turned sideways.

  • The bar along the bottom has Mute, Camera, Chat, People, More and Leave. Chat and People open full screen; close them to get back to the call.
  • More has the reactions, Raise hand, Use back camera (or Use front camera), Audio & video settings, Hold, Invite people and Meeting materials. To copy the link, open View meeting details at the top.
  • Hosts let people in from People, or from the waiting count at the top, and mute or remove people from their row there.
  • When someone presents, their screen fills the width. Pinch to zoom in, drag to look around, and double-tap to zoom in or out.
  • If the sound doesn't start, tap Tap to turn on sound at the top.

Phones can't share their screen, start a whiteboard or pop the call out into its own window, and a whiteboard someone else shares is view only. Your screen stays on during the call; keep the browser in front, because a phone may stop your camera while you are in another app.

Camera or microphone problems

#

If your browser blocks the camera or microphone, or none is connected, the lobby says so and you can still join. For example, "Camera access is blocked: allow the camera for this site in your browser settings, then reload. You can still join with audio."

Allow access in your browser's site settings (the camera icon in the address bar), then choose Try again. See Troubleshooting.

Waiting for the host

#

If the meeting has a waiting room, members who aren't hosts or invited see Waiting for the host… after choosing Join now, and join as soon as someone lets them in. Choose Cancel to stop waiting. If the host turns you away you see "The host didn't let you in" with Ask again.

Start a meeting again

#

A meeting keeps its link and its chat after the call ends. To meet again, open the link, choose Rejoin on Meeting ended, or open the meeting's chat in Chat and choose Start again. Before and during a scheduled meeting's time the chat shows Join instead. Everyone uses the same link and the same chat.

  • An instant meeting's link stops working 60 days after its last call ends, or 60 days after it was created if nobody joined.
  • A scheduled meeting's link stops working 7 days after its scheduled end. In a recurring series, each meeting has its own chat and follows this rule on its own.
  • A canceled meeting's link stops at once, and the organizer can turn a link off.

When the meeting can't be started, its chat says why under the name, for example "This meeting link has expired." If Anyone can start a meeting is off in Workspace settings, only the meeting's hosts (its organizer, owners and admins) can start it again. From 10 minutes before a scheduled meeting's start until its end, people join as usual.

Invited people get "{title} has started" only when a scheduled meeting starts at its time (from 10 minutes before). Starting a meeting again at another time doesn't notify anyone.
