Meetings and calls
Calendar
Your meetings, personal events and connected calendars in one place: views, quick create, drag to move, shortcuts, time zones and sharing your availability.
What's on your calendar
#Calendar and recurring meetings are available in every workspace. Personal events and their reminders, connected Outlook and Google appointments, Find a time and sharing availability are part of the Personal calendar preview, available in selected workspaces. The instructions below for those features apply where the preview is available.
Your personal calendar is available while at least 1 workspace you can use has the preview. Find a time when scheduling a meeting needs the preview in the workspace where you schedule it.
Calendar in the navigation shows everything with a time in one place: the meetings you organize or are invited to in all your workspaces, meetings you joined as a guest in other workspaces, your own personal events, and appointments from Outlook or Google calendars you connected and chose to import.
Being a workspace member does not give you access to every meeting in it: you see the ones you organize or are invited to. The meeting in progress, or the next one starting within 10 minutes, shows at the top left with Join, wherever the calendar is scrolled.
- The calendars on the left show or hide each calendar. Hiding a calendar does not cancel meetings, stop import or disconnect an account.
- Calendar options (the sliders button) shows Declined invitations and Cancelled meetings, which are hidden at first. If you belong to several workspaces, Meetings from shows one workspace or all of them.
- Past calls and meetings, with their summaries, are in Calls, under History.
Views and moving around
#Choose Day, Week, Month or Agenda at the top. Use the arrows to move a day, week or month at a time, or choose Today. The small month on the left jumps to any day. CheapMeet remembers the view you last used.
Week and Day show the hours of the day and open at your working day; time outside your working hours, and days you don’t work, are shaded. Month shows each day’s events in a grid. Agenda lists what is coming up, day by day.
Create from the calendar
#- In Day or Week, select an empty time, or drag across the time you want. In Month, select a day.
- Type a title. Choose Meeting, Busy, Focus or Away (out of office). The time starts as the slot you picked, 30 minutes long unless you dragged; change Starts and Ends, or pick a length from 15 minutes to 1.5 hours.
- For a meeting, add people or email addresses; a video link is added for you. For a personal event, tick All day if it lasts whole days.
- Press Enter or choose Create. More options opens the full Schedule meeting form with what you typed. Esc cancels.
A meeting created this way uses your workspace’s meeting defaults for guests and the waiting room. New at the top (or C) goes straight to the full form. See Schedule a meeting.
Personal events
#Personal events and their reminders need the Personal calendar preview in at least 1 workspace you can use. If the personal-event option is missing, you can still create a CheapMeet meeting.
Personal events block out your own time without a meeting: Busy, Focus time or Out of office, for part of a day or whole days. They are yours alone: they have no link and nobody is invited.
- Select one to see its details. Edit event changes the title, type, times, Reminder and Notes (only you see these); Delete event removes it.
- Busy and out-of-office events remind you 10 minutes before by default; focus time has no reminder unless you add one. Choose No reminder, When it starts, or from 5 minutes to 1 day before. Reminders appear in Activity and as a pop-up that opens the event, and follow Meeting reminders in Settings → Notifications.
- To make one repeat, type it in the command bar, for example "focus every weekday 9-11" (see below). When you change or delete a repeating event, choose This event, This and following events or All events in the series.
Colleagues never see a personal event's title, notes or type. When they use Find a time, they see only that you are busy or out of office. See Share your availability.
Move and resize events
#Drag an event to a new time, or to another day in Week. Drag its bottom edge to change when it ends. Times snap to 15 minutes, and the new time shows while you drag. Press Esc to cancel. On a touch screen, press and hold the event first.
- For a repeating event, you choose whether the move is for this one, this and the following ones, or the whole series.
- For a meeting with people invited, you confirm with Save and send update, and they are told about the new time.
- An event from a connected calendar is changed in that calendar, which tells its attendees in its own way.
- After a move, Undo in the confirmation puts a single event back.
You can move your personal events, meetings you can edit, and events from connected calendars you're allowed to change. A meeting in progress, a meeting you joined as a guest and a cancelled meeting can't be moved.
Use the keyboard
#Press ? on the calendar to see every shortcut. T goes to today, J and K (or the arrow keys) move forward and back, D, W, M and A switch views, G goes to a date, C creates a meeting, N starts a meeting now, and Enter joins the meeting that is on now.
With an event selected, the arrow keys go to the next or previous event, Enter opens it, E edits it and Delete cancels or deletes it (for a meeting you were invited to, it offers to decline). Alt with the arrow keys moves it by 15 minutes or a day, and Alt+Shift with up or down makes it shorter or longer; release Alt to save. The full list is in Keyboard shortcuts.
The command bar
#On the calendar, press Ctrl+K (⌘K on a Mac) or / to open the command bar. Type an event in your own words and CheapMeet shows exactly what it will create before you press Enter, which opens the quick create form ready to check. For example:
- "Lunch with Sam tomorrow 12:30 for 1h"
- "focus block Friday 9-11"
- "weekly standup Mon 9:30"
- "Dentist Oct 20 3pm ET"
- "Offsite next Thursday all day"
Words such as "focus" or "out of office" pick the type; "every weekday" or "weekly" make it repeat; a time zone such as "ET" or "PT" sets the time in that zone. The command bar also goes to a date, switches views, joins what is live, shows or hides a calendar, and changes time zones. It still finds people and chats, as it does everywhere in CheapMeet.
Time zones and working hours
#Times are shown in the time zone from your profile, the same one used everywhere in CheapMeet. To change it, choose the time zone at the bottom left of the calendar, or Time zone and working hours… in Calendar options. Changing it changes how times appear; it never moves your meetings. All-day events keep their dates.
In the same dialog you can add a Second time zone, shown as a second column of times in Day and Week and at the bottom left, and set when the Week starts on, your Working days and your working hours (Working hours start and Working hours end). Working hours shade the calendar and tell colleagues, in Find a time, when you usually work.
In a week when the clocks change in either time zone, the second column shows the times for today (or for the first day shown), and the day the clocks change is marked with the difference, such as +1h. Point at that day for details.
Connected calendars
#Showing connected appointments on Calendar needs the Personal calendar preview. Your workspace can still use CheapMeet meetings without it.
Connect an Outlook or Google calendar in Settings → Calendars. A connected calendar can receive the CheapMeet meetings you schedule, and, if you choose, show its own appointments on your CheapMeet calendar.
Each connected account has its own box in Settings → Calendars showing its Default calendar, the calendar meetings go to when you pick that account. If the account has one calendar, it is chosen for you. If it has more, choose one and select Save calendar preference.
When you schedule a meeting, choose the account under Calendar event (optional). Every connected account with a calendar is listed, Outlook and Google alike. The event uses the time zone of a repeating meeting, otherwise the time zone in your profile.
To show its appointments, choose Manage calendars, open its options and choose Import events. Connecting an account does not turn import on. Review the privacy confirmation before enabling it: imported appointments do not create CheapMeet meetings or become visible to your workspace.
Turning import off removes that source’s imported cache and leaves its provider appointments intact. Disconnect account affects that account’s sources, while other connected accounts remain separate. Manage calendars also changes each calendar’s color.
Imported appointments update on their own. Most changes you make in Outlook or Google show within moments, but a change can take up to 5 minutes to appear. To check straight away, choose Refresh (the circular arrows) at the top of the calendar. When the calendar is narrow, Refresh is in Calendar options.
A partial, stale or unavailable calendar is not proof that you have no appointments. Use its retry or reconnect action to check current access before relying on the displayed range.
Share your availability
#Availability sharing and Find a time need the Personal calendar preview. Partners never receive your calendar availability through External access.
When colleagues schedule a meeting with you, Find a time shows when you are busy. It never shows what your events are called, where they are or who is in them.
- Colleagues in your workspaces see your CheapMeet meetings and personal events as busy time only.
- Busy times from your connected Outlook and Google calendars are shared only if you turn on Include busy times from connected calendars under Availability in Settings → Calendars. It is off until you turn it on.
- People from partner organizations see no availability for you at all.
Use the calendar on a phone
#The calendar works on a phone in Safari or Chrome. It opens on the agenda, with a strip of the week to jump between days, the meeting that is on now or next with Join at the top, and a + button to create. Select an event for a summary, then All details for everything.
The options button opens Calendar settings: switch views (Day, Week and Month work too), show declined invitations or cancelled meetings, and show or hide calendars. Schedule meeting also works on a phone.
