Meetings and calls

Host controls

Let people in, mute, spotlight and remove people, change who can join, and end the meeting for everyone.

Who is a host

#

The meeting's organizer and the workspace's owners and admins are hosts. Host rights are checked on every action, so someone whose role changes during a call gains or loses them right away. If no host is in the call, any member in it can let people in.

Let people in

#

When someone asks to join, a pop-up says "{name} is waiting in the lobby" with Admit, and a chime plays. In Participants, people under Waiting in lobby have Admit and Deny; choose Admit all when several are waiting.

A request to join expires after 10 minutes, and up to 20 people can wait at once. Letting a guest in is for that call only.

Manage people in the call

#

Right-click a person in Participants, or use their ⋮ button:

Participant actions (muting is also available to workspace members in the call)
ActionWhat happens
Mute participantHosts and workspace members in the call can mute others. App participants see who muted them and can unmute themselves; phone callers can say “unmute me”.
Unmute participantTurns a standalone phone caller’s audio back on. App participants unmute themselves.
Ask to unmuteThey get a prompt with Unmute. They decide.
Lower handLowers their raised hand. Lower all hands appears when two or more are up.
Spotlight for everyoneShows them large for everyone. Stop spotlight undoes it.
Remove from meetingTakes them out of the call after you confirm. They can't rejoin that call.

Only the meeting organizer in the call can choose Mute all. Guests cannot mute others. See Phone mute controls.

Under Invited · not joined, choose Nudge to remind someone the meeting has started (once every 30 seconds).

Invite people and change access

#

Choose Invite in the call bar to search your colleagues and choose Invite to meeting: they are rung right away. Members can invite too when the workspace allows it; guests can't.

Hosts choose Meeting access in the bar at the top of the call (on a phone, More → Meeting access) to turn Allow anonymous guests on or off and turn on Restrict to invited only. Its icon shows the current setting: a lock when only invited people can join, a globe when anyone with the link can. Changes apply to the next person who tries to join; people already in the call stay.

Rename the meeting

#

Select the meeting title in the header, type the new name (up to 120 characters) and press Enter. Press Esc to cancel.

Stop someone's screen share or whiteboard

#

Open the Share options or Whiteboard options menu on the shared content and choose Stop {name}'s share or Stop {name}'s whiteboard. Hosts can also turn Allow laser pointers off in More.

End the meeting for everyone

#

Choose End call, then End for everyone. Everyone leaves at once. Choose Leave instead to go and let the meeting continue.
