Workspace administration
External access and partner organizations
Choose partner organizations, agree who can chat and call, answer requests, and check or stop access.
Before you start
#External access is a preview available in selected workspaces. Workspace owners and admins manage it in Workspace settings → External access. Both organizations need access to the preview. If the tab is missing, this feature is not available in your workspace.
Turn on Work with partner organizations before sending or answering a request. Turning it off pauses access with every partner; the partnerships stay listed.
A partnership lets the people each organization chooses work together without joining the other workspace. Partner people do not become your members or use your seats.
Add a partner
#- Choose Add a partner. Under Find them, enter Their CheapMeet address or name, choose Search, select the organization and choose Continue.
- Under Choose what to share, choose the people from your workspace who take part and the things they can do together. Choose Continue.
- Under Review and send, check the organization, people and permissions, choose an end date if needed, then choose Send request.
Names can look alike. Before agreeing, confirm the last 4 characters of the organization’s ID with its workspace owner or admin. Your own ID is under External access → More options.
Nothing is shared until the other organization accepts. Its workspace owners and admins receive an email and an Activity notice.
Choose people and permissions
#Choose Only people I pick to name participants, or Everyone at {workspace} to include current and future members, never guests. People blocked by the workspace’s email-domain rule cannot take part. The other organization chooses its own participants. Being a partner does not expose your whole member list.
The basics are Find each other by name, Chat one-to-one and Audio and video calls. These are browser calls, not calls to phone numbers. Under More, you can choose meeting invitations, group chats and calls, files, screen sharing, presence, read receipts, people lists and saved contacts.
The partner page shows what works for both sides. A permission works only when both organizations allow it and the people are included. Screen sharing also has a choice of whose people may share. Each person’s presence and read-receipt privacy settings still apply.
Phone numbers and phone calls, voicemail, calendars, recordings, billing and workspace administration are never shared. A shared chat, call or file stays with the organization where it started.
Partner people see no calendar availability in Find a time, even when personal calendar features are available.
Answer a partner request
#Open the request from Activity or Workspace settings → External access. The workspace-settings navigation and External access tab show a count of partners waiting for your answer.
- Check the organization and They’re offering. Confirm the organization’s ID with someone you trust there.
- Under Who from {workspace} takes part, choose named people or everyone.
- Choose Accept to agree to the offered permissions, or Decline to refuse the request. You can turn permissions off later.
Unanswered requests show an answer-by date. Workspace owners and admins receive a reminder 3 days before the request expires. The requesting organization’s owners and admins, plus the person who asked while they remain a member, hear by email and Activity when it is accepted, declined or expires.
Use an invite link or change discovery
#If you cannot find an organization, ask for its exact CheapMeet address or use a partner invite link. Open More options under External access.
- Invite links → New link creates a one-time link another organization’s workspace owner or admin can use to request a partnership. It does not grant access automatically; you still approve the request.
- Got a link from another organization? → Use a link lets you paste its link and choose what to offer. You see who sent it after sending your answer.
- Show {workspace} in partner search controls whether others can find your workspace by name. When it is off, your exact CheapMeet address still works.
A used, revoked or expired link no longer works. Ask the other organization for a new one.
Check why someone cannot chat or call
#- Open the partner’s page and expand Check access.
- Choose Someone at {workspace}, What they try and Who starts it.
- Choose Check. Read whether the action is allowed and the reason when it is not.
The check assumes the other person is included in the partner’s choices; it does not test a named partner person or show the partner’s private participant list. Check that access is on, the partnership is active and both sides allow the action. For a problem with a particular person, ask the partner’s workspace owner or admin to confirm that person can take part. Personal blocking and privacy choices can still restrict the real action.
Change or stop a partnership
#Open a partner’s page to see what you can do together, the people who take part, its end date and History. History records changes made by either organization.
Reducing access applies immediately. Adding more access needs the other organization’s agreement; the already agreed access stays in place while that answer is pending.
- Pause, end or block → Pause stops access temporarily. Only the organization that paused it can Resume it.
- End partnership stops the partnership. Block also prevents new requests from that organization until you unblock it. Read the confirmation before continuing.
- An end date stops access when that date is reached. Turning off Work with partner organizations stops access with all partners at once.
If the partner paused access or needs to approve a change, ask its workspace owner or admin to review the partner page.
