Start a meeting now or schedule one, invite people, add an agenda and files, and find your meetings on the calendar.

How a meeting works

#

Every meeting has a link like cheapmeet.com/m/abc-defg-hij. Anyone with the link can open it in a browser; the meeting's settings decide who gets in straight away and who waits for a host.

Start a meeting now

#
  1. On Calendar, choose Meet now.
  2. Give it a Meeting name (it starts as "Instant meeting"; up to 120 characters). You can rename it later from the call.
  3. Choose Start meeting. You go to the lobby to check your camera and microphone, then join.

Once you are in, share the link with Copy link in the Invite panel or View meeting details dialog, or ring people with Invite. An instant meeting uses your workspace's meeting defaults for guests and the waiting room.

An instant meeting keeps its link and chat after the call, so you can meet again in it. Its link stops working 60 days after its last call. See Start a meeting again.

Schedule a meeting

#

The quickest way is on the calendar: select an empty time, or drag across the time you want, type a title and press Enter. See Create from the calendar. For everything else (agenda, files, guests, repeats), use the full form:

  1. Go to Calendar and choose New (or press C). The form starts on the day you are looking at. From a quick create, More options opens the same form with what you typed.
  2. Type a Title. The Meeting icon is suggested from the title (for example "standup" picks Team, "demo" picks Presentation); choose another if you like.
  3. Pick the Date and Start time (every 15 minutes) and an End time, or choose a length: 15 min, 30 min, 45 min, 1 hr, 1.5 hr or 2 hr.
  4. Optionally choose a Reminder, write an Agenda (see below) and turn on Repeat (see Recurring meetings).
  5. Under Invite people, search for people in your workspace or paste email addresses. Where the Personal calendar preview is available, Find a time shows when they are free.
  6. Set Allow anonymous guests and Waiting room for this meeting.
  7. Optionally choose Add files, then choose Schedule meeting.

Times are shown in the time zone from your profile (or your browser's if you haven't set one). The meeting link is created when you schedule; the preview on the form is only a placeholder.

A meeting can last from 5 minutes to 12 hours, in 5-minute steps. How long a call can actually run still depends on your plan; see Plans and limits. You can schedule up to a year ahead. You can invite up to 50 people from your workspace and up to 20 email addresses per meeting. Inviting by email needs a verified email address.

Find a time

#

Find a time is part of the Personal calendar preview, available in selected workspaces. If it is missing, you can still schedule a meeting by choosing its date and time yourself.

When you invite people from your workspace on Schedule meeting, Find a time lays out everyone's day side by side, with each person's working hours and time zone, and suggests times when everyone is free. Choose a suggestion, or select a point on the timeline, to set the date and start time. Use the arrows to look at other days.

It shows only when people are busy, might be busy or are out of office, never what their events are called, where they are or who else is in them. People from a partner organization show as Partner organization, with no availability. If free and busy times can’t load, you can still pick any time.

What colleagues can see of your own time is described in Share your availability.

Recurring meetings

#

On Schedule meeting, turn on Repeat. Choose a Frequency: Daily, Every weekday (Monday to Friday), Weekly (on the weekdays you tick), Monthly or Yearly, and how often (for example every 2 weeks). A monthly or yearly meeting can repeat on the same date or on a weekday, such as "the second Tuesday" or "the last Friday".

Under Series ends, choose Never, After a number of appointments (up to 366) or On a date. A series with no end keeps its appointments a year ahead, adding more as time goes on. The form describes the repeat in words, such as "Every month on the last Friday", so you can check it before scheduling.

Dates follow the scheduling time zone. Months without the selected day and years without February 29 are skipped. If daylight saving time makes a time nonexistent or ambiguous, review the offered replacement time or offset and choose explicitly before scheduling.

Each appointment has its own link, invitation response and materials. Files added on the scheduling form belong to the first appointment. An invitation or link to one appointment does not grant access to another.

When editing, moving or cancelling a recurring appointment, choose what the change applies to: only this appointment, this and following appointments, or the whole series. Existing links stay attached to their appointments. Previously cancelled appointments remain cancelled.

If series creation or an update is unfinished, use its retry action to continue the same change. Review its progress before scheduling another series, which would create separate appointments.

Write an agenda

#

The agenda editor has two formats. Rich text has a toolbar for bold, strikethrough, underline, bullet and numbered lists, indent and outdent. Markdown lets you type Markdown and choose Preview Markdown to check it. Only the format you have selected is saved.

If you paste Markdown into rich text, CheapMeet offers to switch to Markdown. Agendas can be up to 2,000 characters. Invited people see the agenda in the meeting details and in their invitation email.

Add meeting files

#

When scheduling, choose Add files to attach up to 10 files. Invited people can read them before the meeting, and everyone in the call can open them from Meeting materials. Files use your workspace's upload limit and storage. Files can only be added while scheduling.

Invitations and reminders

#
  • People in your workspace get an in-app notification and a pop-up, "invited you to {title}", that opens the meeting details.
  • People invited by email get a CheapMeet email with the date and time (in their own time zone when they have a CheapMeet account, otherwise yours, with the time zone named), the length, who organized it, the agenda, a Join CheapMeet meeting button, the link and meeting code, and a link to help with joining. A calendar invitation (invite.ics) is attached: most email apps offer to add it to the calendar, with a reminder 15 minutes before.
  • When your workspace has phone dial-in, invitations, Copy invite and the lobby also list the dial-in numbers and the meeting ID, so people can join by phone.
  • If you schedule with your Microsoft Outlook or Google Calendar connected, the meeting is added to your own calendar as busy time with a reminder 15 minutes before. The event shows the join link, the meeting code and, when there is dial-in, the numbers to tap to join by phone. It changes when you change the meeting and is removed when you cancel it. Invited people aren't added to that event; they get CheapMeet's invitation.
  • Invited members who haven't declined get a reminder with Join 10 minutes before the start. As the organizer you choose your own with Reminder on the form: Your default (10 minutes before), No reminder, When it starts, or from 5 minutes to 1 day before. Meeting reminders in Settings → Notifications turns reminders off.
  • At the start time, the organizer and members who haven't declined get "{title} is starting" with Join meeting, a short chime and, if you allowed it, a desktop notification. When the first person joins, everyone who isn't there yet gets "{title} has started"; if that happens before the start time, there's no second alert at the start. People already in the meeting aren't alerted, and a cancelled meeting stays quiet. See Meeting start alerts.

For dial-in, Use phone for audio… and host phone invitations in enabled workspaces, see Meeting audio by phone.

Accept or decline

#

Invited members answer Going? in the meeting's details on the calendar with Yes, Maybe or No. For a recurring meeting, choose whether the answer is for This meeting or This and following. Declining stops the meeting's reminders for you. Joining the meeting counts as accepting.

On the calendar, an invitation you haven’t answered is striped and marked RSVP, and a meeting you said maybe to is lighter and marked Maybe. Declined invitations are hidden unless you show them in Calendar options.

Past meetings

#

Your upcoming meetings are on Calendar. The meeting in progress, or the next one starting within 10 minutes, shows at the top left with Join. See Calendar.

Past calls are in Calls, under History. This workspace lists meetings you attended with their length, how many attended and View summary. Joined as guest lists meetings you joined in other workspaces for 90 days, with Rejoin while the link still works.

Meeting details

#

Select a meeting on the calendar to open its details in a panel beside the calendar: its time and time zone, how it repeats, your reminder, Join, the link and code, your answer, the organizer and invited people with their answers (No answer yet, Going, Maybe, Joined or Declined), the agenda, files and who can join. Press Esc or choose Close to go back to the calendar.

The organizer, invited members and workspace owners and admins can open a meeting's details. Links from Activity, reminders and notifications open the meeting the same way, on its day, with the meeting highlighted.

Change or cancel a meeting

#

The organizer and the workspace's owners and admins see Manage meeting in the meeting's details:

  • Edit meeting: reschedule it, change the name, end time or agenda, or add and remove invited people. With the meeting selected on the calendar, E opens the edit form straight away. Invited people are told about the change, and people invited by email get an updated email with a calendar file that updates the event in their calendar. People you add get the usual invitation; people you remove are told they're no longer invited and can no longer join as invitees.
  • New link: replaces the link. The old link stops working, people already in the call stay, and anyone waiting in the lobby is turned away. Invited people are sent the new link.
  • Turn link off and Turn link on: while the link is off, nobody new can join.
  • Cancel meeting: invited people are told, and the link stops working. People invited by email get a calendar file that removes the event from their calendar, and the meeting's calendar link does the same.

To only change the time, drag the meeting to a new time on the calendar, or drag its bottom edge to change when it ends. If people are invited, you confirm with Save and send update and they are told. A meeting that is in progress can’t be moved. See Move and resize events.

A scheduled meeting's link stops working 7 days after the meeting's scheduled end. If a meeting is connected to your calendar, its calendar event follows these changes.

Call summaries

#

After a call, View summary on the meeting in Calls → History (or View the recap of the last call in its details on the calendar) shows how long it lasted, who was there and for how long, the whiteboard if one was used, and the meeting chat. Whiteboards and chat are kept as long as your plan keeps chat history.

Meetings aren't recorded.
